The Tampa Art Museum needs to track the artwork, artists, and locations where the art is displayed or stored within the museum. Currently The Tampa Art Museum is using an inaccurate set of spreadsheets to keep track of art, artist, and location data within the Museum and it is very cumbersome for end users. The Project teams Goal is to create a reliable database to streamline operations at the museum and make inventory accurate and reliable. Database Environment

The database environment consists of the system hardware, software, people, procedures, and data. The hardware that will be used for the database is a network of Dell workstations at each museum location. The workstations used are Dell OptiPlex 390’s, connected to a main server which the database will be stored. Each workstation will have access to the server to retrieve the data needed. Each museum location will also have a Dell C3760dn Multifunction Laser Printer to print results obtained from the database. Each individual workstation will use Microsoft Windows 7 professional x64 service pack 1 for the operating system. The Main database server will use Microsoft Server 2008 R2 x64 for the operating system. The DBMS that will be used will be Microsoft Office Access. A form will be created to add data to the database and make it easy to retrieve data when needed. Reports can be downloaded and printed to show results of the data base inquiry.

The people involved in the database system are the system administrator, data modelers, database administrator, system analysts, and end users. The system administrator will oversee the general operations of the database. The database modelers will create the design of the database. The system analysts will create GUI based input screens, reports, and procedures which end users will use to modify the database, and retrieve the needed data. The procedures of the database are a group of instructions and business rules that will be used to add and remove and search throughout the database. The data in the database will represent the artwork, artists, and locations art is stored within the museum. The data will be stored into tables created with Microsoft Access. Problems & Constraints

The problems and constraints for the new database will be the gathering of data that needs to be represented in the new database. At the present time Microsoft Excel spreadsheets are being used to store data on art, artists, and art locations. These spreadsheets are not always updated and accurately represented on all present workstations. The data needs to be gathered and documented before the new database can be created to insure that the new database will be accurate. Time is another constraint of the new database project. The database needs to be operational before the beginning of the next fiscal year and within the allotted budget of $20,000. The budget is allotted for labor only as all the hardware and software has already been obtained for the database. Database Objectives

The objective of the database is to document what art, artists, and location of the art is contained within the museum. This will help museum project leaders know exactly what the museum has for art on hand, and to organize the inventory and prepare for future exhibits. Scope

The scope of the new database is to define all the art, artist, and art locations within the museum. The database will only contain information about the art, artist, and location of the art within the museum. The database will have the ability to add more data for new art, artist, and locations when it comes into the museum.

The implementation of the new database should make the inventory of art within the museum easy to search and simple to keep records up to date. The new database will also make it simple for end users to add information to the database as it comes into the museum and make accurate information available on workstations and printed reports. The improvement to current systems will help to present the art within the museum on a rotating schedule to keep the visitors experience fresh and new.
