Nowadays, companies have invested time and money so as to grow with the fast changing times. One of the biggest and greatest contributions of Information Technology is computer. Business establishments have submitted themselves to the fact that the use of computers would ensure a fast, accurate and efficient system in the conduct of their daily transactions. This study intends to create a solution to the problem of Gallo Medical Clinic. The developers analyzed what are the problems and they came up with their objectives and solutions. This chapter explains what those problems are and what are the solutions to those problem. Furthermore, this chapter explains the significance and the scope and limitation of the system.
Information System (IS) is the study of production, flow and use of information within an organization. Information System makes extensive use of information technology to capture, transmit, store, manipulate, and display information. [ABRE2006]
1.1 Background of the study
In the current climate of increasing awareness, patients are demanding more knowledge about forthcoming check-ups/operations. The patient information accounts for a considerable part of the physician’s daily clinical routine. Unfortunately, only a small percentage of the information is understood by the patient after solely verbal explanation. To optimize information delivery, the developers came up with their computerized system.
The Gallo Medical Clinic was privately owned by Mr. Josephino Gallo. It was formed and organized March 1990’s located at Novaliches City. January 1998, another branches was built. It is located at Pasig and Taguig City together with Mr. Gallo’s wife- Mrs/Dra. Maria Enrique Gallo. Mr. Gallo primary mission was to feed and give free medical checkups in every barangay in their target places, together with helped of his Doctor friends until he plan and decided to create his own clinic. Gallo Medical Clinic in Taguig City branch have only maximum bed capacity of ten (10), three thousand (3,000) patients (both out-patients and in-patients) recorded more or less per year. Has about thirty to fifty (30-50) outpatients consultation per day and almost one hundred to one hundred fifty (100-150) patients per week.
Inpatient department can admit at least twenty (20) patients per day subject to the consultant’s advice and availability of rooms & facilities. As to clinic facilities, it has fifteen (15) beds and three (3) wards which included department ward, OB Gyne ward and Nursery ward for inpatient department. It also has five (5) departments which included Administrator, Supply/Pharmacy, Chief Nursing, Comptroller/Finance and Operation. The common problems encountered were slow retrieval of patients record’s, delay in update chat of available beds, slow computation of running balance or temporary bills and difficulty in generating reports. When developing the computerized Patient Information System, the developers knowledgeable about the processes of patients and of the Clinic.
1.2 Statement of objectives
From the problems stated, the developers came up to the following objectives.
1.2.1 General Objectives
The developers will create a computerized-based system for Gallo Medical Clinic that will help them solve their problem in making a manual searching and storing the data of their patients. The patient information and billing system will help them to lessen the time for searching and storing of data.
1.2.2 Specific Objectives
* To develop a module that helps patients save time during their checkups and emergency assistance. * The patients will have lesser time to fill out all necessary data. * To develop a module that will easily search the stored patient’s data. * The Medical staff will have more time in working without searching files in a stored cabinet and will not consume a lot of time. * To develop a system that has data storage that count numbers of their patients. * The system will help the clinic to estimate the number of their patients a day until year.
1.3 Significance of the study
This section is significant to the following:
* Hospital
The proposed system will simplify and automate everyday hospital tasks and can help maximize time spent with clients thereby providing better making it more profitable. * Doctors
The proposed system will make it easier for the doctors to manage the hospital and convenient when it comes to retrieving patient records. * Medical staff
The computerized medical record system for Gallo Medical Clinic helps medical staff to easily find and create a medical record of a certain patient. The proposed system will also minimize the errors of the medical staff. It will give the staff information about the system and extend their knowledge about computer application. * Patients
Patients which come from any part take treatment inform of admitted basis or outpatient door basis. Patient is an important factor for hospital. * Researchers
The researcher has developed their writing, analysis, cooperation, and interpretation skills needed to make a good project.
* Future Researchers
It will benefit the future researchers because this study will serve as their basis and guidance towards their proposal, so that they would have ideas on what more they can do with their proposed studies.
1.4 Scope and Limitation of the Study
These are the following Scopes of the Study:
A. File Maintenance- it takes care all information pertaining to the following: A1: Patient- data entry of personal information. Each patient has a patient number, name, address, gender, and age. A2: System User- records information of the main user for each module such as: ID Number and name. A3: Physician- records information such as a PhysicianID, name of physician who may administer medical treatments on a particular department, and physician’s schedule which includes the time and date of his/her consultation and his/her available time and date. B. Report- the system includes generation of reports such as: * Daily/ weekly/ monthly list of admitted patients.
* Census of patients for consultation.
* Census of patients for treatment.
* List of all the users in the system.
C. Utilities- the system includes, other modules necessary to the system like: * Back- up and Recovery – backup of patients files which could be recovered. * Audit Trail- detects and monitors all th users that log-in and out in the system. * Security- provides username and password of the system before log-in.
LAN Implementation- the system shall be implemented in the Local Area Network (LAN). At least three (3) computers would be used. One (1) for each department such as: Comptroller, out-patient/in-patient and administrator. Two to four (2-4) staff would use each unit. These are the following Limitations of the Study:
* Accounting of overall clinical expenses – doesn’t include the payment of clinic facilities from their suppliers and other clinic payment. * Cashier transactions – the system developed focuses only in patient basic information’s.
